Smart Lists: Saved Filters That Update Themselves

A smart list is a saved filter on your contacts. New people who match get added on their own. Here's how to make one.

A smart list is a saved filter on your contacts. Say you want every past customer tagged "roof repair" in one place. Build the filter once, save it, and anyone new who matches shows up on the list by themselves.

Build a smart list

  1. Open Contacts.
  2. Click More Filters at the top of the list.
  3. Search for the filter you want, like a tag, and select it.
  4. Set the condition, like Is, Is Not, or Contains, and fill in the value.
  5. Click Apply.
  6. Want more than one rule? Pick And (people must match every rule) or Or (people can match any rule), then add the next filter.
  7. Click Save as Smart List, give it a name you'll recognize, and click Save.

Your new list shows up in the row of lists at the top of Contacts.

Pick the columns you see

Use the Columns drop-down at the top right of the list to show or hide details like phone, email, or tags.

Ways local businesses use them

  • Past customers you haven't heard from in a while, for a "we miss you" email
  • Everyone tagged for one service, before a seasonal promo
  • New leads from the last 30 days, so nobody gets forgotten

FAQ

What's the difference between a tag and a smart list?

A tag is a label on one contact. A smart list is a saved search that can pull in everyone with that tag, plus any other rules you add.

Can I send an email to a smart list?

Yes. See How to Send a One-Off Email to a List.

Does deleting a smart list delete the contacts?

No. A smart list is a saved filter, not a folder. Deleting it removes the saved view, and every contact stays in your account. Deleting contacts is a separate step where you select them and type DELETE to confirm.
