How to Follow Up a Few Days After an Appointment

Set up an automatic text or email that goes out a set number of days after a customer's appointment.

A quick check-in a few days after the job makes you memorable, and it's the easiest time to ask for a review or a referral. Here's how to send one automatically.

We already set up follow-up for your contact form and digital business card submissions. We can also help you build a welcome or follow-up sequence, and we talk that through on your onboarding calls. Check with us before you build one, so you don't end up with two.

Build it

  1. Go to Automation > Workflows and create a new workflow from scratch.
  2. Add a trigger: Appointment Status.
  3. Set the filter Appointment Status Is to Showed Up. That way it only follows up with people who actually came.
  4. Optional: add In Calendar to limit it to one calendar.
  5. Add a Wait action and choose a time delay, like 3 days.
  6. Add a Send SMS or Send Email action and write your message.
  7. Save and publish the workflow.

A sample message

"Hi {{contact.first_name}}, it's Mike from Treasure Coast Plumbing. Just checking in after your appointment on Tuesday. Everything working the way it should? Reply here if anything comes up."

The one habit this needs

This only fires when the appointment is marked Showed Up. If nobody updates the appointment status, nobody gets the follow-up. Make marking appointments part of your end-of-day routine.

Want it to go out the day before instead, as a reminder? Use the Wait action's event or appointment time option. Good news, though: we already set up appointment reminders for you, so you only need this for something extra.
